Planning a safari from the other side of the world involves a lot of trust. Here is exactly how we work, so you know what to expect before you send anything.

A specialist reads your message

Not an auto-responder and not a chatbot. Your enquiry goes to a consultant in Mombasa or Nairobi who knows the parks, the lodges and the driving times first-hand.

You get a proposal within 24 hours

A suggested route for your dates, with the accommodation we would hold, a day-by-day outline, and a quote that itemises what is and is not included. If your dates or budget make something unrealistic, we will say so rather than quietly downgrading it.

We refine it together

Most trips change two or three times before they are right. Add a night, swap a park, move to a different lodge, or rework the whole thing. There is no charge for revisions and no pressure to book.

You confirm, and we take it from there

Once you are happy, a deposit secures your lodges and vehicle. Grey Impala Safaris is a KATO-bonded tour operator, so your payment is protected under the Kenya Association of Tour Operators bonding scheme. Final documents, including your confirmed pickup time, follow before you travel.

What to Include in Your Message

You do not need to know any of this to contact us, and a one-line message is perfectly welcome. But if you already have the details below, including them means our first reply can be a real proposal instead of a list of questions.

  • Your travel dates, or the month and rough length of stay if dates are still flexible.
  • How many are travelling, including the ages of any children, since this changes both room configurations and rates.
  • Where you are arriving and departing — Nairobi, Mombasa, Diani, or a cruise port call.
  • Any parks or experiences you already have in mind, such as the Great Migration, gorilla trekking or a beach extension.
  • A rough budget per person. This is the single most useful thing you can tell us. It is not used to push you upward — it lets us propose accommodation that actually exists at your level instead of wasting a round trip.
  • Anything that has to be right: mobility needs, dietary requirements, a honeymoon, a birthday, a fear of small aircraft.

East Africa Time is UTC+3. That puts us three hours ahead of London in winter and two in summer, eight ahead of New York, and five behind Sydney. If you send an enquiry overnight in your own time zone, it will be waiting with a specialist when the Kenyan working day begins.

Emails and form enquiries receive a full written reply within 24 hours. If you have not heard from us in that time, please check your spam folder before assuming the message did not arrive, then call or WhatsApp us.

How quickly will you reply?

Within 24 hours for email and form enquiries, and usually within a few hours on WhatsApp during office hours. If your enquiry arrives on a Saturday afternoon or Sunday, expect the full written reply on Monday, though WhatsApp is still monitored for travellers already on safari.

Do I have to pay anything to get a quote?

No. Planning, proposals and revisions are free, and there is no charge until you decide to confirm a trip. Most itineraries go through two or three rounds of changes before they are right, and we do not charge for any of them.

Can you help if I have not decided where to go yet?

Yes, and this is a large part of what we do. Tell us roughly when you can travel, how long you have and what kind of trip appeals, and we will suggest options across Kenya, Tanzania, Uganda, Rwanda and the coast. Browsing our safari destinations or published trips first is useful but not necessary.

Do you only arrange trips you already advertise?

No. Our published itineraries are starting points rather than a fixed menu. Nights can be added, parks swapped, accommodation moved up or down a level, or a route built from scratch around your dates. Most of the trips we run are tailor-made.

Can I visit your office instead of enquiring online?

Yes. You are welcome at either our Mombasa head office in Nyali or our Nairobi office in Westlands during opening hours. Please call ahead on +254 728 630188 so the right consultant is available rather than out with guests.

Is my money protected if I book?

Grey Impala Safaris Ltd is a KATO-bonded tour operator, which means client funds are protected under the Kenya Association of Tour Operators bonding scheme. We are also an IATA agent. You can read more about how we work on our about page.

I am a travel agent or partner. Who do I speak to?

Use the same enquiry form or email address and mark your message as an agent enquiry, and it will be routed to the right person. Please include your company name, country and the type of business you place.

Something has changed and I am already on safari. What do I do?
